We are currently accepting applications for a Programming Officer to support the college's School of Continuing Learning (Temporary).

 

The Programming Officer reports to the Program Coordinator at School of Continuing Learning. This position oversee an assigned portfolio courses and initiative at the School of Continuing Learning. The workflow includes learners’ enrollment, retention and course completion. This position provides daily logistical and operational support to academic and professional courses, engagement initiatives and business development. The task relate to liaison with support departments, build course schedule, and ensure prospective learners’ enrollment. Support service and technology standard.

Academic Units Administration - 40% – Curriculum, Faculty and Student Support

 

Student, Faculty and Staff Support

  • Provides customer service and information to internal and external clients, public, learners, prospective students and faculty regarding courses and certificates.
  • Supports instructors, student and staff on college policies and procedures including curriculum, grading, final exams, class and attendance lists, perception checks, safety, security procedures, payroll and submission of final marks, etc. to help meet service standard, student retention and completion rate.
  • Provides support to online or face-to-face students and instructors as needed.  Monitor and track D2L issues and report technical issues to LRS. Validate D2L content migration has occurred in a timely and accurate fashion.
  • Responds to requests for proposals for external and internal business training by drafting proposals or contracts. Review with the Program Coordinator any requests for quotes or cost estimates/budgets; provide information to the client.
  • Assists the Program Coordinator in all budgeting, business planning and year end activities related to these courses and programs – including reconciliation of accounts, contracts and budget codes. Track financial and student enrolment, retention, completion information. Monitor and track requests for invoicing, identify and resolve discrepancies, if necessary.
  • Provides pertinent information regarding student progress, growth and/or expansions.

 

Curriculum Support

  • Works closely with the Program Coordinator to ensure that programming is meeting needs, and curriculum improvements, changes and updates. Organizes and tracks curriculum. Ensures version being used is current and updated.
  • Collects, creates and maintains accurate information including course outlines, course content where relevant, final exams, student marks and other information where required.
  • Prepares and provides support for meetings of various groups (new development, curriculum review, etc.), information sessions, and student completion for specific certificates.
  • Administers all communication documents in the D2L and BVC website; liaise with the appropriate individuals within the school to ensure the information posted for students is accurate, timely, and pertinent.
  • Assists instructors, Subject Matter Experts, and Curriculum Development Specialists. This involves gathering and formatting data, developing and filling out spreadsheets, and assisting with final documents, if needed.

Department Compliance and Onboarding Support

  • Liaises with other departments to provide internal customer services and to ensure the smooth operation and ongoing support of students and courses success with the Registrar, Information Technology Services, TLE, Ancillary Services and Facilities, HR, etc. Implement processes to be followed within the school. Provide information and clarification to staff in regards to pay and benefits in consultation with HR.
  • Works closely with Scheduling to ensure booking of rooms that meets the specified needs of each offering (classroom size, appropriate software, LCD, etc.).
  • Ensures student registrations, transfers, extensions and withdrawals are handled efficiently and effectively.  Brings forward and resolve any issues that arise with Registrar’s Office representative(s).
  • Attends periodic meetings with Registrar’s Office staff to discuss and resolve problems, determines new policy and provide feedback on existing policies, procedures and services.
  • Investigates program student issues such as withdrawals, probation, and/or learner appeals, efficiently and effectively by following the established policies and procedures and informing the appropriate individuals. Apply appropriate solutions when required.
  • Coordinates the biannual building of courses and programs in Agresso with the Registrar’s Office.
  • Ensures appropriate and accurate intake documentation for D2L content migration by meeting established criteria and deadlines. Investigate and problem-solve any issues regarding D2L content migration with instructors, and/or the TLE Unit.

 

Prospective Units Administration  - 40% – Marketing, Events and Development Support

  • Assists in developing and maintaining communications and marketing plans and activities to support recruitment strategies, plans for prospective students and applicants; layout emails and letters based on pre-existing templates; write scripts for out-bound calling. BVC-TV: ensure key information is displayed on internal television network, as appropriate.
  • Maintains stakeholders’ engagement Initiatives for business development & alumni with market strategy for continuing education learners, employers with training needs and professional associations/regulators of occupational competencies.
  • Advises and executes strategies focused upon engagement of priority Bow Valley College stakeholders through a variety of means including website interaction, social media, affinity programming, live and virtual events.

Project Units Administration  - 20% – Special Initiatives, Delivery or Events Support

  • Ensures the on-campus events Open House provides assistance with event logistics and development of presentation materials (including PowerPoint presentations and handouts). Where appropriate, coordinate support with Student Recruitment, and Marketing and Communications, provides support sponsored functions as required.
  • Maintains and updates web pages and MyCampus. Work with all areas to provide accurate, timely and relevant information via the MyCampus intranet; assist with writing and editing content for the web; assist with organizing information for optimal user experience; identify new content and alternate ways of presenting information; maintain events/important dates listings MyCampus.
  • Identifies opportunities to profile and otherwise enhance the reputation of the SCL in the Calgary community

Job Requirements

Minimum Qualifications

  • Completion of a diploma in a related field plus 2 – 4 years’ experience.
  • An equivalent combination of directly related education and experience may be considered.

 

Preferred

  • Bachelor Degree.
  • Excellent administrative and organizational skills.
  • Strong decision making and problem solving ability.
  • Skilled in time management, multitasking and prioritization
  • BVC experience is preferred.
  • Exceptional interpersonal, resourceful team player, strong cultural sensitivity, and customer service skills to establish effective working relationships.
  • Exceptional written and verbal communications skills.
  • Excellent computer skills (Microsoft Office, D2L, Adobe Connect, Adobe Photoshop/Illustrator).
  • Excellent critical and strategic thinking skills, ability to take initiative, strong decision making and problem solving.
  • Excellent organizational skills, time management to administer projects timely and accurately to completion.
  • Ability to negotiate mutually beneficial strategies/opportunities.
  • Ability to independently, multi-task and complete assigned tasks in a timely manner and be flexible.
  • Minimum of 2 years working experience in social media or related field.
  • Demonstrable social networking experience, social analytics tools knowledge, online marketing and major marketing channels.
  • Experience and Understanding of alumni programming is preferred.
  • Experience with Client Relationship Management solutions (Raisers’ Edge, MS Dynamics, Salesforce, etc.) is preferred.
  • Understanding of FIOP and CASL requirements and knowledge of BVC policies and procedures is preferred.
  • Good events management skills
  • Experience with learners, courses, scheduling, and projects in a fast paced environment

 

Candidates must be able to work evenings and weekends and possess a valid Driver's license.
